Fleet Tracking with EnergyCAP

fleet_blog.pngEnergyCAP is widely recognized as a powerful utility bill and energy management tool for facility operations. Did you know that some EnergyCAP customers are also leveraging the application’s features to better track and manage their vehicle fleets in response to emerging sustainability and compliance mandates?

Tracking of fleet operations can be as simple as monitoring total fleet consumption across various fuel commodities (e.g., gasoline, diesel, biodiesel, ethanol, CNG, and LPG), or as complex as tracking each fleet vehicle as a distinct “meter” to monitor specific fuel use, miles driven, and associated greenhouse gas (GHG) emissions. Whatever the reporting and documentation requirements, EnergyCAP offers flexibility in configuring the level of detail for tracking fleet operations to suit the organization’s goals.

In one current example, a state government is using EnergyCAP’s GHG reporting functionality to establish baseline GHG emissions for their entire 10,000+ vehicle fleet, and then monitoring the GHG emissions in future years as the fleet portfolio changes over time. EnergyCAP staff assisted with the implementation of a robust fleet tracking program, requiring the creation of 12,000+ meters to monitor fuel usage and mileage by individual fleet vehicle. Each meter and associated account was identified by vehicle license plate number and internal asset ID, and further grouped within the EnergyCAP hierarchies by department and agency.

After the tracking framework was established, EnergyCAP staff reformatted and imported thousands of data fields generated from the state’s internal fleet tracking systems, including two full years of fuel consumption and mileage readings. Custom user-defined fields were used to track vehicle body type, allowing further analysis and comparison using EnergyCAP’s Groups & Benchmarking module. Looking ahead, the state is also considering ways to use EnergyCAP’s Report Designer to create custom queries and reports to better assess vehicle efficiency.

Related to GHG emission tracking, EnergyCAP offers users the ability to create custom GHG emission factors based on publicly-available resources, including:

By using these types of “industry standard” resources, EnergyCAP users can be confident that their fleet emissions are being properly benchmarked against similar mobile emission sources from other organizations.

EnergyCAP’s State Government customer is still working through the data entry and analysis phase of their fleet management program, but immediate benefits have been realized through simplified reporting of GHG emissions at the Organizational, Department, and Agency levels. Ultimately, the state’s goal is to use EnergyCAP to better understand their vehicle portfolio and fuel consumption, and use that understanding to shape internal initiatives to comply with established GHG emission mandates.

As the sustainability and compliance mandates facing your organization evolve, especially around reduction of fossil fuel usage and GHG emissions, EnergyCAP remains a flexible and powerful tool for analyzing and reporting on your efforts (and successes) related to better managing your fleet operation.
