A leading North American retailer, known for its wide selection of high-quality food products available in customizable quantities, operates hundreds of locations and manages an extensive network of utility vendors. With a large volume of utility bills processed monthly, improving operational efficiency was essential.

The challenge

The Accounts Payable team was spending 7–8 days processing utility bills from more than 230 vendors. Manual data handling, limited automation, and slow system ingestion contributed to delays. As the organization’s footprint grew, so did the need for a more efficient utility bill workflow that offered faster visibility and payment processing.

The solution

Enhanced Web Capture with JSON Integration

The organization implemented an enhanced web capture process using EnergyCAP’s JSON file-based ingestion system to boost speed and accuracy. This required no changes to internal workflows—EnergyCAP delivered backend system improvements that enabled faster data processing and automation.

Initially, 230–250 vendor accounts were eligible for the enhanced capture process. In parallel, additional summary accounts were identified to further expand the scope and benefits.

The implementation yielded immediate improvements. Utility bill turnaround time dropped from 7–8 days to just 1–2 days—a 75%+ reduction.

Additional outcomes:

  • Zero impact on internal processes: Existing workflows remained intact.
  • Scalable results: More accounts are being added to expand the benefits.
