EnergyCAP FAQs

What is EnergyCAP and what does it do?

EnergyCAP is a comprehensive utility bill management and energy management platform that has been serving organizations for over 40 years. The company helps organizations with multiple buildings and utilities track, audit, and manage utility bills across their entire portfolio—collecting valuable detail from bills and meters including electricity, natural gas, water, sewer, and other commodities, as well as custom commodities, then providing powerful analytics, reporting, and auditing capabilities to help optimize costs and consumption.

The platform serves as single source of truth between meters and bills to provide a centralized system of record for utility expense management, replacing manual spreadsheet processes with automated workflows. Organizations effectively use EnergyCAP to manage consumption, save time, and reduce spend and emissions. Customers identify billing errors in 1 in 5 bills, track consumption trends, benchmark building performance, and most save at least 10% annually on their utility bills as a result.

What organizations use EnergyCAP?

EnergyCAP serves a diverse range of organizations including universities, healthcare systems, local (county and municipalities) and state governments, federal government entities, municipalities, commercial retail and real estate portfolios, manufacturing facilities, K–12 school districts, commercial real estate portfolios, and large corporate enterprises with multiple office campuses. We work with organizations managing anywhere from a handful of buildings to thousands of facilities across multiple locations.

How is EnergyCAP different from using spreadsheets?

Spreadsheets require significant manual effort to maintain, are prone to hand-key errors, and lack sophisticated auditing and analytics capabilities. With spreadsheets, manually entered data, formulas, and charts must be built or added from scratch each time you need to analyze your utility spend.

Within an organization, spreadsheets get copied, shared, and modified, creating multiple versions with no trusted source of truth or guarantee of accuracy. This is problematic even for organizations managing a smaller portfolio of buildings, spreadsheets are maintained consistently and by the right personnel at first, but over time become increasingly unreliable.

EnergyCAP automates data collection, automatically flags billing errors and energy anomalies, provides pre-built reports and dashboards, and maintains a complete historical record of all utility bills in one centralized platform. The time savings from eliminating manual entry alone typically provides significant ROI, before counting the money recovered from catching billing errors before payment.

Can EnergyCAP work for smaller organizations, or is it only for large enterprises?

EnergyCAP works for organizations of all sizes. While many of our customers are large enterprises managing hundreds (or thousands) of buildings, smaller organizations spending excessive staff time on manual utility tracking, lacking visibility into their utility costs and consumption patterns, and needing to reduce their utility spend still benefit tremendously from an energy management platform like EnergyCAP.

EnergyCAP is designed to grow with your organization. Our pricing scales with the number of meters tracked and managed in the software, making EnergyCAP an option for smaller organization

Is EnergyCAP primarily a bill auditing tool, or is it a full energy management platform?

It’s both. EnergyCAP starts with complete utility bill management, including data capture, validation, auditing, approvals, and payment, then expands into broader energy management with benchmarking, reporting, interval data analysis, emissions management, accounting, and chargebacks. What makes EnergyCAP different is the depth of its data and its finance-first structure: a shared data tree gives energy, sustainability, facilities, AP, and finance teams one dataset with the views, controls, and reporting each team needs. Customers often start with bill management, then expand over time as they take on forecasting, cost allocation, interval analysis, emissions, and enterprise reporting.

Can EnergyCAP integrate with our ERP or accounting system?

Yes. EnergyCAP integrates with all major ERP and accounting systems including SAP, Oracle, Workday, JD Edwards, and many others. During implementation, we work with your IT and finance teams to configure exporting needs to match your system’s exact requirements.

How does EnergyCAP help with budget planning and forecasting?

EnergyCAP offers best-in-class budgeting tools built specifically for utility and energy management. Create budgets grounded in historical consumption and weather-normalized data, so projections reflect true facility performance rather than seasonal anomalies. Multi-year trend analysis and seasonal pattern recognition give you the full picture needed for confident, defensible budget requests.

Budgets in EnergyCAP are also flexible—adjust figures throughout the year in response to rate changes, occupancy shifts, or new conservation initiatives. And with what-if scenario modeling, you can quantify the financial impact of facility changes or efficiency measures before they happen, bridging the gap between energy management and financial oversight.

Does EnergyCAP handle complex bill types like submetering or deregulated supply?

Yes. EnergyCAP was built for complexity. We handle deregulated electricity and natural gas supply charges, as well as complex submetering environments, ensuring that even the most fragmented utility portfolios are unified in a single record.

EnergyCAP Utility Management FAQ

We have multiple buildings across different locations. Can EnergyCAP handle that?

Absolutely. EnergyCAP is designed for multi-site portfolios. You can organize facilities hierarchically by region, district, campus, building type, or any structure that makes sense for your organization, and analyze data at any level from individual meters up to your entire enterprise.

Our customers manage buildings across multiple states and across the globe. EnergyCAP manages the utility providers, rate structures, and billing formats across your entire portfolio, giving you a unified view regardless of how geographically dispersed your facilities are.

What types of utility bills can EnergyCAP track?

EnergyCAP can track virtually any utility type including electricity, natural gas, water, sewer, steam, chilled water, propane, fuel oil, biomass, and telecommunications. The platform captures the most granular detail; all line item charges, rate schedules, demand charges, taxes, and fees.

Whether you have simple single-meter bills or complex multi-meter, multi-commodity bills, EnergyCAP handles them. The system works with summary bills, landlord bills, and bill formats from utilities across the United States and internationally, including bills in multiple languages and with current currencies.

Does EnergyCAP automatically flag billing errors and anomalies?

Yes. Automated utility bill auditing is one of EnergyCAP’s core capabilities. When bills are imported, the system automatically checks for dozens of common concerns, including cost-saving issues like overlapping billing periods and duplicate bills, identifying potentially missing bills, as well as concerns such as abnormal use, abnormal cost, and abnormal demand.

Can different team members see different things, or is everything visible to everyone?

EnergyCAP has robust role-based access controls. Administrators see everything, and individual users or customer groups can be scoped to only see the data relevant to their permissions. This makes it suitable for organizations that need to share visibility with specific departments, tenants, auditors, or external customers without exposing the full dataset. EnergyCAP has standard user roles for finance, utilities, facilities, and energy teams that can easily be modified to accommodate the needs of any organization

Can EnergyCAP help with cost allocation and chargebacks?

Yes. EnergyCAP includes robust cost allocation and chargeback capabilities. You can allocate utility costs to departments, tenants, cost centers, or buildings based on square footage, number of occupants, percentage allocation, or actual metered usage.

The platform generates internal bills for chargebacks, which is particularly useful for organizations that need to bill tenants for utility usage or allocate costs across multiple departments.

How does AI help analyze utility bills and energy data?

Artificial intelligence can analyze large volumes of utility bills and energy data to identify patterns, anomalies, and cost drivers much faster than manual analysis.

EnergyCAP Watts AI helps users explore utility data conversationally and quickly generate insights from utility bills, meter data, and building information. AI can flag unusual energy usage, detect billing anomalies, summarize energy trends, and help organizations make faster, data-driven energy decisions. AI speeds up the parts of utility analysis that usually take the most time: sorting through large volumes of bills and readings, spotting patterns, and surfacing what changed. But AI works best when it’s backed by expertise and grounded in the right context.

That’s where EnergyCAP stands apart. EnergyCAP Watts AI runs in a secure EnergyCAP environment and pairs your utility data with four decades of industry knowledge and a proven mix of automation, AI, and human expertise. The result is faster insight you can trust: clearer answers, consistent outputs, and analysis that reflects your utility billing and operational reality.

How do I know which bills are in and which are still missing each month?

EnergyCAP tracks expected bills based on your meter and account configuration, so you can see at any time what bills have been received for a given period, broken down by utility type, vendor, or building. Finance teams use this to predict accruals confidently rather than guessing.

Gaps between bills is a standard audit that runs on every bill that enters the system, alerting you to potentially missing bills. This audit is included in the list of EnergyCAP-managed flags for Bill Review customers.

Can you process bills in languages other than English?

Yes. EnergyCAP can process bills in multiple languages. For organizations operating across multiple countries, all reporting, charts, and data can be converted into a single, unified currency regardless of the currency on the underlying bills, giving you a consistent view of costs across your entire portfolio.

How do we prove the ROI of an energy efficiency project?

EnergyCAP makes this straightforward. Once a project is logged, you can compare pre- and post-project consumption and cost data adjusted for weather, occupancy, or other variables to quantify savings using industry-standard IPMVP methodology. You can track multiple projects simultaneously and generate reports that translate energy savings into dollar figures for finance teams and executives.

EnergyCAP Smart Analytics FAQs

Can I see daily energy consumption data, or only monthly bills?

EnergyCAP supports both monthly utility bill data and continuous interval data from smart meters. Interval data provides a more proactive approach to energy management: unexpected consumption spikes, peak charges, and billing discrepancies can be addressed immediately rather than waiting for the next bill.

How can EnergyCAP help us reduce energy costs?

EnergyCAP lowers utility costs in many ways: by catching billing errors before you pay, benchmarking and analytics surface unusual use and demand, using real usage data to challenge incorrect bills, highlighting leaks and unusual usage, surfacing peak demand and load-shifting opportunities, and tracking savings from efficiency projects over time.

Yes. EnergyCAP supports API integrations with a wide range of meter brands, including AcuRev, Verdigris, and EpiSensor. We’ll work through the specific connection options during the scoping process to ensure compatibility before implementation begins.

Can we see why our energy costs are going up—rate changes, weather, or actual consumption?

Yes. EnergyCAP’s variance analysis helps you decompose disaggregate cost changes into their root cause, whether rate increases, consumption changes, weather impacts, or demand spikes. Rather than seeing a bill that’s just “higher than last year,” you can understand exactly why.

Can we use EnergyCAP alongside Tableau, Power BI, or other BI tools?

Yes. EnergyCAP can serve as the clean, structured data source that feeds your existing BI tools. Many customers use Tableau or Power BI for executive-level reporting while using EnergyCAP as the system of record for bill capture, validation, and anomaly detection.

In addition to BI tool integration, EnergyCAP also has its own built-in dashboards and reporting (including dashboards that can be embedded on your public-facing website) which many teams find sufficient without a separate BI-layer.

Yes, you control the approval workflow. EnergyCAP’s bill processing and Bill Pay solutions include both audit and review steps. Nothing gets paid without your sign-off.

Once you approve a bill, EnergyCAP passes a clean, formatted file to your financial system and, with Bill Pay, routes the bill for payment.

Does EnergyCAP handle bill payment, or just tracking?

EnergyCAP manages the entire cycle, from bill capture to payment. Our Bill Pay service processes payments on your behalf, so once bills are captured, audited, and approved, payment is handled and tracked securely in EnergyCAP. For customers who prefer to manage payments internally, EnergyCAP can also generate formatted export files for import into your accounting system, ensuring only audited, approved bills are paid.

What is the average reduction in late fees for Bill Pay customers?

By automating the reconciliation and payment process, customers typically see a near-100% elimination of late fees. The system identifies due dates and processes payments via electronic transfer (or digital check) to ensure your operating dollars are never wasted on vendor penalties.
